YMM is seeking a permanent School Business Manager to help take our inspiring and joyful Saturday music school into the future. The right person will thrive on effective and efficient administration and attention to detail, pro-actively creating an organised, welcoming environment for the 350 children and adults who take music classes with us every Saturday. As School Business Manager, you will share YMM’s aim of providing inspiring and inclusive music education. You will manage a small team, currently comprising our Student Administrator, Reception Assistant and roadie/set up team of under 18s. You will be managed by our wonderful Musical Director who is also the YMM Lead.
WORKING DAYS AND HOURS:
This is a part-time role, 20 hours per week over 40 weeks (+ 5.6 weeks of paid holiday). You will be present at YMM at La Sainte Union School in London NW5 on our 30 term-time Saturdays between 8am and 4pm. Your additional hours will be carried out remotely, including time on Fridays to prepare for Saturdays.
RESPONSIBILITIES:
1) Day to day administration:
With support from the Student Administrator, you will manage the school timetable for individual lessons and groups effectively, ensure students are invoiced on time (currently using Xero), liaise with families, students and tutors on Saturdays and during the week and maintain systems including our new school management software My Music Staff.
You will also be responsible for: a) the accounts and book-keeping in Xero (with support from YMM Lead, YMM Treasurer and YMM accountant); b) HR and training, safeguarding, health & safety, fire drills, insurance cover, compliance, IT implementation & support; c) liaising with La Sainte Union school and their agents (Schools Enterprise) to ensure YMM is complying with our rental agreement.
2) Supporting the YMM lead:
You will work closely with the YMM Lead to uphold YMM’s safeguarding policy, recruit and support teaching staff, oversee our instrument inventory and run concerts and events.
3) Managing the roadie team:
You will oversee the management and organisation of our under 18 roadie team who set up and pack up our teaching rooms on Saturdays.
4) Marketing and new student recruitment:
You will assist the YMM Lead and YMM trustees in developing YMM’s marketing and student recruitment strategy, managing the YMM website and social media.
5) Liaising with YMM trustees:
You will regularly brief the YMM trustees at up to six evening meetings per year and review and advise the trustees on ideas for YMM development alongside the YMM Lead. You will be appraised annually by the YMM Lead and trustees,

You will need:
– strong administration skills including demonstrable experience of managing budgets, systems and processes as you will be responsible for the day to day running of YMM.
– great people management skills as you will be leading and looking after the Student Administrator, Reception Assistant and roadie team, making the most of their collective talents and carrying out their appraisals.
– strong interpersonal skills as you will be looking after our student community in addition to managing the team, maintaining a positive and collaborative atmosphere.
– the ability to manage time effectively, prioritise workload and work to deadlines.
– the ability to problem-solve, embrace new systems and find/create ways to improve how we work so YMM runs efficiently and happily.
– an enhanced DBS certificate (YMM can help arrange this).
It would be great if you have: a love of music!; experience of working in a school environment; familiarity with Google Drive and Xero; familiarity with Photoshop, Canva or other content creation software; familiarity with website administration platforms such as WordPress or Wix; experience of The Big Give/Just Giving fundraising platforms; First Aid training.
