BEAUTY SCHOOL ADMINISTRATOR Full-Time 9.00am to 6pm, Monday to Friday with 1 hr lunch or 9am to 5.30pm with 30 min lunch £23000 per annum plus 28 days holiday entitlement Email CV, covering letter to The ideal candidate will be willing and helpful when welcoming students and answering all inquiries in a timely manner and observe the set standards at all times.You will be trained to have a complete knowledge of all courses and services offered. Duties to include:Answering phone calls and emails. Assisting students and models with any queries.Enrollment and administration of students on internal softwareOverseeing the booking system for the modelsUp selling courses.Being polite, friendly and helpful at all times.A high level of personal presentation. Be able to multi taskTo be patient and compassionate when dealing with clients.Flexible and reliable, available to work weekdays and weekendsExcellent communication skills.Able to work within a small team.Service orientation and excellent organisational skills.Active listening and effective communication competencies.Must have IT SkillsExperience of treatments / current beauty industry is desirable but not mandatory. JOB DESCRIPTIONGeneral office administration and front of house duties Meet and greet all visitors to the academyAnswer and deal with all incoming phone callsProcess and scan incoming post and post outgoing postCarry out general admin duties e.g writing emails, following up students who wish to enroll, confirm model bookings, taking paymentMaintain the general email accounts responding to queries as requiredAssist in the upkeep of contact records, including student, staff informationCreate student files on google drive and manage the files onlineOrder stationary, products and sundries for the academyMaintaining a clean, tidy and orderly admin office Day to Day running of the School Help maintain general order in the academyAssist with management of premises and manage locker keysUpkeep of Learning Platform(Teachable)CRM system AyotreeManage model site Simply Internal Meetings Organize refreshments for training days if required, including ordering food and making tea and coffeeAssist with the preparation school resources for classesWrite minutes staff meetings, monthly admin meetings, and other meetings as required.Academy HiresManage booking requests if neededMaintain hire documentationCreate invoices and liaise with Finance Department regarding paymentsCoordinate necessary security for hires. Marketing & Events Assist with the management of any events, both at the School and at external venuesOrganise refreshments and assist with any other preparationsAssist with the coordination of internal photo after every classAssist with maintenance of image archiveFormat and send termly newsletterWork with marketing team as and when necessaryFacebook Twitter and Instagram management Finance Process cash and credit card payments from Students and Models and allocate payments Classes Process payments for classesFilter and respond to enquiries from participants and modelsPrepare relevant paperwork, such as registers, resources where required.Help mark and organise student portfolio Invigilate student exams Other Process Disclosure & Barring Service (DBS) checks if necessaryCreate student Lesson timetableManage academy stock as required.Housekeeping loading/emptying dishwasher, making tea and coffee, etc keepingacademy clean.General administrative support for the administration team and teachers, asrequiredDeal with incoming leads, speak to students, enroll them and admin associated withthis.
